Linen
Elegant white linen is available for all function settings, as well as elegant gold-crush linen or overlays for formal events. Your Catering Manager will be happy to co-ordinate rental of coloured linens and chair covers from our preferred suppliers.

Flowers, Music, Photography and Event Decor
Our catering team can suggest appropriate professionals to create and design the atmosphere for your special event.

Coat Check
Arrangements for a coat check attendant can be made, and charges are based on the guaranteed number of guests. Labour charges may apply depending on the number of coats checked. Alternately, coat racks are available at a rental charge.

Regulations and Charges
Credit / Deposit Payment
A detailed credit application must be filled out in order to have direct billing approved by the hotel. Definite confirmation of your social function requires a 10% of estimated total, non-refundable deposit, with the full estimated balance due three weeks before the event.

Guarantee
A final attendance figure must be specified by 12:00 noon, two business days prior to any catered function. This figure will be considered a guarantee and not subject to reduction. We will set up and prepare for 5% above the guaranteed figure.

Labour Charges
Meals served in a private room for fewer than 20 guests are subject to additional labour charges and gratuities. In the event that a meal function requires complete table set-up more than one hour before service time, a labour charge will apply, based on the number of staff affected.

Cancellation Policy
Per contractual agreement with the hotel.

Audio-Visual Services
Our highly trained audio-visual professionals from Presentation Services Audio Visual can provide you with the latest equipment along with professional service. Rates and information are available upon request. Please note that if you choose to use another audio-visual supplier, an outside vendor fee will apply.
Electrical Power
All meeting rooms are equipped with standard 110-volt power, with numerous 15 amp outlets. Additional power for large audio-visual shows and computer training sessions can be set up by our electricians. Please ask your Catering department for a quote.

Videoconferencing
The hotel can make available ISDN lines and all the latest videoconferencing equipment. Please speak to the Catering department for more information.

Telephones
Telephones are available at a charge. We also offer a conference phone for rental. DID lines, allowing Internet and direct telephone call access, are also available at a charge.

Conference Materials
Conference materials must be shipped to the attention of the Banquet Maitre d', and each box must be clearly labelled to identify conference and / or function name, date of event and the number of boxes in the shipment (i.e. 1 of 3, 2 of 3, etc).

Box Handling
A box handling fee will apply for all boxes moved from our loading dock to the conference room up to 15 boxes. Please note that each company must provide its own labour to move any and all boxes 60 lbs or heavier. The hotel is not responsible for assembling any display or exhibit.

Storage

Due to the hotel's limited storage capability, we must restrict complimentary storage to a maximum of five 2'6" x 2'6" boxes to no more than two business days prior to the function and no more than two business days following its termination. Any boxes above and beyond this may be subject to a rental fee for a function room to be used as a storage room.

Should a meeting room be required, and reserved in advance to store large shipments, the full meeting room rental will apply.

International Shipments
The services of a customs brokerage firm are strongly recommended for any cross-border shipments. A customs broker can easily eliminate problems such as materials withheld by Canada Customs & Immigration at the border because of improper documentation. If the hotel is called upon to help clear a shipment through customs on a client's behalf, a 15% surcharge will apply.

Fire and Safety Standards
The hotel would like to ensure your function is a pleasant and safe experience. Please notify the Catering department of any decorations, showcases, pyrotechnics or artificial smoke that may be used during your event. Any of the above used must abide by the regulations of safety laid out by the City of Toronto Fire Department.
